This policy explains what personal data TeamSync, a Top Matrix product, handles, why, and what you can do about it. We collect what the product needs to work and nothing else: no advertising, no analytics, no selling of data.
Who is responsible
For this website and for demo requests, Top Matrix decides how your data is used.
Inside TeamSync, your company (the Organization that holds the licence) decides who is invited and what is recorded. Top Matrix hosts and processes that data on its behalf and only to provide the service.
What we store
- Your account: name, email address, and a one-way hash of your password (never the password itself). Staff accounts also keep an encrypted two-step sign-in secret.
- Your place in your company: the Organizations you belong to, your Department and your Role on each Project.
- Your work: the issues you raise or are assigned, comments, @mentions, element references, the saved views with their snapshots and markup, attached files, and each issue’s history of who changed what and when.
- Notifications sent to you inside TeamSync.
- Sign-in sessions, so you stay signed in. Session tokens are stored only as hashes.
- Demo requests from this website: your name, company, email address, number of seats and message.
IP addresses and security records
To stop password guessing and spam, we record the email address and IP address of failed sign-ins, password resets, invitation acceptances and demo requests for a short time (15 minutes, or one hour for demo requests), then delete them automatically.
We keep records of administrative actions (such as a General Manager changing a Role) and of every request our support staff make while your General Manager has granted them access.
We do not keep a log of the pages you visit.
Cookies and browser storage
This website sets no cookies and uses no analytics or tracking of any kind.
When you sign in to the web app, we set one cookie, teamsync_refresh. It keeps you signed in, cannot be read by scripts, is only sent to our sign-in address, and lasts up to 30 days or until you sign out. It is strictly necessary, so there is no cookie banner.
The web app also remembers your theme and the last Organization you opened in your browser’s local storage. This never leaves your device.
Where your data is kept
The database runs on servers we rent from OVHcloud. Files, snapshots and attachments are kept in Cloudflare R2 object storage and are only served through links that expire after 15 minutes.
If we use an error-reporting service, it receives technical details of the error without your personal data.
If your company runs TeamSync on its own servers, your data stays there and Top Matrix does not receive it.
Who can see it
- Each company’s data is kept apart from every other company’s by the database itself.
- Inside your company, your Role decides what you see: all issues on a Project, your Department’s, or only your own. This applies everywhere, including counts, the dashboard and notifications.
- Top Matrix support staff can read your company’s Projects only when your General Manager grants it, for a limited time (one hour to seven days), read-only, and every request they make is recorded. Staff accounts must use two-step sign-in.
- We do not sell or share your data with anyone else, except the hosting providers above or where the law requires it.
How long we keep it
- Your account and your work stay for as long as your company uses TeamSync.
- A removed issue or Project can be restored for 90 days, then it is deleted for good together with its files.
- When you are removed from a company, the issues you wrote keep your name, so the record stays readable, and issues assigned to you become unassigned.
- Unfinished file uploads are deleted after 24 hours.
- Demo requests are kept in our email for as long as we need them to follow up.
Your choices and rights
You can see and correct your name and password in the app at any time. To get a copy of your data, or to have your account deleted, ask your company’s General Manager or write to us. We answer within 30 days.
If you think we have handled your data wrongly, please tell us first. You may also complain to your local data-protection authority.
Changes
If we change this policy, we will update the date at the top and tell General Managers of anything that affects them.
